AVLS ADMIN LTD Terms & Conditions

Version 1.0 · Effective 31 October 2026

1. Booking and service

AVLS ADMIN LTD provides professional vehicle movement services. A booking is formed when AVLS accepts the Movement and any required payment authorisation has been secured. Customers must provide accurate vehicle, collection, delivery and contact information.

2. Vehicle roadworthiness

The customer is responsible for ensuring the vehicle is roadworthy, safe, legally capable of being moved, and has sufficient fuel or electric charge for the booked Movement unless otherwise agreed.

3. Vehicle breakdowns and recovery

If a vehicle suffers a mechanical, electrical or other breakdown not caused by AVLS ADMIN LTD or its driver, the customer remains responsible for arranging and paying for recovery, repair or onward transportation. Where AVLS has attended, commenced or materially performed the booked service, the full agreed Movement charge remains payable. AVLS may also charge reasonable additional costs caused by waiting time, aborted work, additional travel or re-attendance. AVLS is not responsible for recovery costs where the breakdown was not caused by AVLS or its driver.

4. Road-related and pre-existing damage

Customers acknowledge that ordinary road use carries unavoidable risks, including minor stone chips, road debris, weather-related marks and similar incidental damage. AVLS is not responsible for such damage where it did not result from negligence, reckless conduct or a failure to exercise reasonable care by AVLS or its authorised driver. AVLS is not responsible for pre-existing damage or inherent vehicle defects.

5. Collection, delivery and waiting time

Collection and delivery times are estimates within the agreed Movement window unless expressly confirmed otherwise. Delays caused by traffic, road closures, weather, site delays, customer or third-party availability, breakdowns not caused by AVLS, or other events outside AVLS's reasonable control may affect timing. Reasonable additional waiting or re-attendance charges may apply where delays are caused by the customer, vehicle or collection/delivery site.

6. Amendments and cancellation

Customers may request amendments through the platform. Material changes are subject to AVLS approval. Once the vehicle has been collected, the customer cannot cancel the Movement or change the agreed dates through the normal customer amendment process. AVLS may amend operational dates where necessary and will record material changes.

7. Payment

The customer must pay the agreed Movement price. Where card payment is used, AVLS may obtain authorisation before the Movement and capture the authorised amount following delivery and upload of proof of delivery. Additional reasonable charges arising under these Terms may be charged separately where applicable.

8. Proof of collection and delivery

AVLS may record and upload proof of collection, proof of delivery, photographs and other Movement evidence. These records may be relied upon as evidence of the Movement and vehicle handover.

9. Customer responsibilities

The customer must ensure lawful access to the vehicle, provide keys and documents required for movement, remove prohibited or undeclared goods, and provide accurate instructions. The customer is responsible for consequences caused by materially inaccurate or incomplete information.

10. Failed collection, access and additional costs

If a vehicle is unavailable, inaccessible, materially different from the booking information, unsafe to move, lacks required keys/documents, or the collection/delivery site cannot release or receive it, AVLS may treat the attendance as an aborted or delayed Movement and charge reasonable waiting, travel, re-attendance or other directly incurred costs. Any agreed tolls, parking, congestion or similar road charges may also be included or recharged where applicable.

11. Liability

Nothing in these Terms excludes or limits liability where it would be unlawful to do so. Subject to applicable law, AVLS is not responsible for loss or damage that was not caused by a breach of contract, negligence or other fault by AVLS; results from inherent defects or pre-existing damage; results from inaccurate customer information; or results from normal road risks that could not reasonably have been avoided.

12. Insurance, prohibited items and claims

Customers must disclose any material issue affecting insurance, legality or safe movement of the vehicle. Vehicles must not contain unlawful, dangerous or undeclared goods. Any damage or service claim must be reported promptly with supporting evidence and will be assessed against the available collection/delivery records and applicable insurance arrangements.

13. Complaints and claims

Any issue, damage concern or service complaint should be reported promptly with supporting evidence so that AVLS can investigate. Customers should preserve relevant photographs, documents and communications.

14. Data and communications

AVLS may process contact, vehicle, booking, payment-status and Movement evidence data as necessary to operate the service, communicate transactional updates, maintain audit records and meet legal obligations. Payment card details are handled by the payment provider rather than stored as raw card data by AVLS.

15. Force majeure and governing law

AVLS is not responsible for failure or delay caused by events outside its reasonable control. These Terms are governed by the laws of England and Wales, subject to any mandatory rights that apply to the customer.

These operational terms should be reviewed by a UK solicitor before production launch, particularly if AVLS contracts with consumers as well as businesses.
