AVLS ADMIN LTD Privacy Notice
Effective 31 October 2026
1. Who we are
AVLS ADMIN LTD operates the AVLS vehicle-movement platform and is responsible for personal data processed for customer accounts, bookings and Movement operations. Privacy enquiries can be sent to the published AVLS business contact details.
2. Data we use
We may process account and business contact details, collection/delivery contact details, vehicle and booking information, instructions, Movement status/history, uploaded POC/POD/photos, payment status/references, communications, audit/security records and technical information needed to operate the service. AVLS does not store raw card numbers; card processing is handled by Stripe.
3. Why we use it
We use data to create and administer accounts, quote and perform vehicle movements, secure and reconcile payment, communicate operational updates, provide documents, prevent misuse, maintain business/audit records and comply with legal obligations. Depending on the processing, the lawful basis may include performance of a contract, legitimate interests and compliance with legal obligations.
4. Service providers
Where configured, data needed for the service may be processed by providers including Stripe for payments, Zoho CRM for business/job records, Google Maps/Routes for geocoding and routing, Resend for transactional email, and AVLS hosting/database/storage providers. Only information reasonably needed for the relevant function should be shared.
5. Retention and security
AVLS retains records for as long as reasonably required for operations, accounting, claims, legal obligations and legitimate business records, then deletes or anonymises them when no longer required. Access is role-restricted and the platform uses authenticated document access and audit records; no internet service can guarantee absolute security.
6. Your rights
Subject to applicable UK data-protection law, individuals may have rights to access, correct or erase personal data, restrict or object to processing, and request data portability in certain circumstances. You may also complain to the UK Information Commissioner's Office if you are unhappy with how personal data is handled.
7. International processing and changes
Some technology providers may process data outside the UK under their applicable transfer safeguards. AVLS may update this notice when the service or legal requirements change and will publish the current version on the platform.
This operational privacy notice should be reviewed with the final hosting/provider arrangements and by an appropriate UK legal/privacy adviser before production launch.
